Privacy Policy

1. Two different roles

• Businesses that use TradePath HQ put their own information into it: their customers, jobs, invoices and crew. For that information, the business decides what is collected and why, and we process it on its behalf under our Data Processing Addendum. If you are a customer of a business that uses TradePath HQ, please contact that business about your information. We will help them respond.
• For everything else, including the accounts of people who sign in, billing for our own subscriptions, and visits to this website, we decide how information is used, and this policy describes it.

2. What we collect

Account information

Name, email address and sign-in details for each person with a login, and the business name, address and billing contact for each workspace.

Information businesses put into the service

Customer names, phone numbers, email and service addresses; jobs, visits, notes, checklist answers, photos and files; quotes, invoices and payment records; worker details, skills, certifications and time records.

Location

When a worker presses certain buttons on a visit in the crew app, such as “Start driving”, “Arrived” and “Complete”, the phone’s location at that moment is recorded with the visit. The app does not track location in the background or between visits. These points are shown to the business’s office on its map and timesheets. If the business turns on its tracking map, a customer following their visit link may see an approximate area, not an exact position.

Payments

Card details are entered on pages hosted by Stripe and go to Stripe directly. We never receive or store full card numbers. We keep records Stripe returns to us, such as payment status, the card brand, last four digits and expiry date, and Stripe’s reference for a saved card.

Website and technical information

Our servers and providers keep standard logs, such as IP address, browser type and the time of a request, to run and secure the service. On this public website we also use Google Analytics, described in section 6.

3. How we use it

• To provide the service, including sending the emails a business asks it to send to its customers.
• To bill for subscriptions and to let businesses take card payments through their own Stripe accounts.
• To keep the service and its users secure, and to prevent abuse.
• To provide support and to tell account owners about changes to the service or these terms.
• To understand how visitors use this website, so we can improve it.

We do not sell personal information, we do not share it for cross-context advertising, and we do not use businesses’ data to advertise to anyone. No personal information is sent to an AI provider.

4. Who we share it with

We share information only with the service providers that run TradePath HQ for us, listed on our subprocessors page, under contracts that limit their use of it to providing their service. We may also disclose information when the law requires it, to protect people’s safety or our rights, or as part of a merger or sale of our business, in which case this policy continues to apply.

5. How long we keep it

We keep a workspace’s information for as long as the workspace exists. After a workspace is closed we delete its information within 90 days, except where the law requires us to keep records such as invoices for longer. Backups are overwritten on a rolling schedule.

6. Cookies and analytics

Signing in uses cookies that are needed to keep you signed in. They are not used for advertising.

On this public website, and only here, we use Google Analytics to understand which pages visitors find useful. It sets cookies and collects information such as pages viewed, device type and approximate location derived from your IP address. Google Analytics does not collect information about what you do inside the TradePath HQ application after you sign in. You can block these cookies in your browser settings or with Google’s opt-out add-on.

7. Security

Each business’s data is kept separate from every other business’s at the database level, all traffic is encrypted in transit, and access is limited by role. More detail is on our security page.

8. Your choices and rights

Depending on where you live, you may have the right to access, correct, delete or get a copy of your personal information, or to object to how it is used. To make a request, contact us at the address below. If your information was entered by a business that uses TradePath HQ, we will pass your request to that business. We will not treat you differently for exercising these rights.

9. Where data is stored

TradePath HQ is operated from the United States, and information is stored and processed in the United States.

10. Children

The service is for businesses and is not directed to children. We do not knowingly collect information from children under 16.

11. Changes to this policy

We will post any change here and update the date above. For a material change, we will also notify account owners by email or in the app.
